Sales Team Suite

From product search to purchase orders, streamlined in one workflow.

The Sales Team Suite is the enterprise configuration for distributors whose volume runs through reps. Supplier Index, ShowCase, Sales Order and Purchase Order on one connected record, with QuickBooks Online sync, logistics and tracking, a named account rep and priority SLA support.

Why rep-led distributors outgrow their stack

One package, sized for a whole sales floor.

There are no tiers to compare and no seats to ration. The Sales Team Suite bundles the modules a rep-led distributor uses every day, plus the services that make them stick.

Users

No per-user license

Reps, purchasing and accounting all get access on the same fee, so you're not deciding who can afford a seat. The monthly line stays the same figure whether you add two reps or twenty.

ShowCase

Unlimited ShowCases and sales orders

Build as many client presentations as your reps need and turn every approval into an order, without counting either. Your price stays the same as your volume grows.

Order entry

Sales orders, typed in or imported

Start the order the way the request arrived. Enter sales orders by hand, or import them with AI assistance or from Excel files.

How every line moves

Logistics and tracking

See how each line is routed from supplier to facility to the ship-to address, with the quantity on every leg. Shipping is judged against the estimated carrier cost, and each line carries its own gross margin, split into blank and decoration.

Features

We thought of every detail for you.

The modules your team works in every day, and the services that come with the agreement. Anything not on this list is scoped at discovery rather than assumed.

Sales Team Suite

Everything your reps, purchasing and accounting touch

Built for distributors whose orders arrive through people, presentations and quotes.

Included

  • Supplier Index: search and compare 150+ supplier catalogs with live pricing and inventory
  • ShowCase: client presentations built off that live data, approved in one place
  • Sales Order: approvals convert straight to orders, tracked to fulfillment
  • Purchase Order: compliant POs generated per supplier, automatically, with logistics and tracking per line
  • Built-in QuickBooks Online sync: accounts receivable today, accounts payable on the roadmap
  • Integrations with the systems you already run: QuickBooks Desktop, NetSuite, ShopWorks, ShipStation, FedEx, UPS, TaxJar, your CRM, the storefront platforms your clients insist on, custom EDI and more
  • Assisted onboarding: we build your first workflow with you, and reps, purchasing and accounting are trained on the same record
  • Priority SLA: contracted response times and dedicated support hours, so a stuck PO on a Friday afternoon does not wait for Monday
  • Solution Support: the team that designed your configuration stays on it, so changing how something works is a conversation rather than a new project
  • Priority roadmap alignment: your requirements get a seat at the planning table, and enterprise customers shape what ships next
  • ERP integration when needed: if you run an ERP it stays the system of record for finance and operations, and we connect to it rather than duplicate it

Custom applications and third-party integrations are scoped and quoted during discovery, before any work starts.

Beyond the product

What the enterprise agreement adds.

The modules are the same ones anyone can buy. What changes at enterprise is who is accountable for making them work on your sales floor.

A named account rep

One person who knows your catalog, your suppliers and your quirks, not a rotating support queue.

Priority SLA support

Contracted response times with dedicated support hours, so a stuck PO on a Friday afternoon doesn't wait for Monday.

Solution architecture

We map how your reps actually work before anything is configured, including the parts that live in spreadsheets and habit.

Training the floor, not one admin

Reps, purchasing and accounting train on the same record, so nobody is left cascading it second-hand.

Priority roadmap alignment

Your requirements get a seat at the planning table. Enterprise customers shape what ships next.

Integrations, not exports

Connections to the ERP, CRM or accounting system you already run, scoped and built rather than worked around with a CSV.

The platform

We are agnostic.

You keep choosing your ERP, your accounting, your inventory system, your CRM and your production software, and we connect to what you have picked. These modules are the work that happens between them.

In the Sales Team Suite: included, nothing to install
01Supplier Index

Search and compare supplier catalogs over PromoStandards, with live pricing and inventory.

02ShowCase

Build client presentations off live product data and turn an approval into an order in one click.

03Sales Order

Track every order from intake to fulfillment, with status your reps can read without asking.

04Purchase Order

Generate compliant supplier POs automatically from the order that's already on file, with logistics and tracking per line.

05QuickBooks Online sync

Orders reach your books without being typed a second time. Accounts receivable syncs today, accounts payable is on the roadmap.

Stays yours: we connect to it

These are deliberately not ours. You've already chosen them, your team already knows them, and replacing them isn't the project.

  • ERPIf you run an ERP, it stays the system of record for finance and operations. We connect to it rather than duplicate it.
  • AccountingQuickBooks Online is built in, with accounts receivable syncing across and accounts payable on the roadmap. QuickBooks Desktop, NetSuite and others connect as integrations.
  • Inventory & warehouseBill of materials, barcodes, scanning and bin-level stock belong in a warehouse system. We integrate with the one you pick.
  • CRMYour CRM stays the center. Quotes, orders, POs and activity write back into it.
  • Production softwareIf you run a production or decoration system, orders land in it, and we don't ask you to move production.
  • Shipping carriersYour carrier accounts and rates stay in your name.

If a connection doesn't exist yet, it's scoped as an integration during discovery, not solved with a CSV export.

How it goes live

Onboarding and training

Every rollout runs through the same four stages. Onboarding covers the catalog connections and your existing data, training covers the reps, purchasing and accounting who work in it every day.

Stage 01

Discovery

We walk one real order from first enquiry to paid invoice, including the spreadsheets. Output: a written scope of modules, integrations and users.

45–60 min call
Stage 02

Solution design

Solution architecture for anything custom, then a firm implementation and monthly figure. No range, no surprises at signature.

Typically 1 week
Stage 03

Onboarding & migration

Configuration, supplier catalog connections, QuickBooks Online sync, and migration of your product, client and pricing data.

Scoped at discovery
Stage 04

Training & go-live

Reps, purchasing and accounting in the same room, working the same record. After go-live you move to Solution Support.

Ongoing support

Arrange a walkthrough at a time that suits you

Fill in the form and you can choose your time straight afterwards. Tell us how your team sells today and we will work from your setup rather than sample data, so the first twenty minutes are not spent explaining it.

Before you ask

The questions that come up on every call.

How is the Sales Team Suite priced?

A one-time implementation fee plus a monthly platform fee. We don't publish the figures because the scope genuinely differs between a ten-rep shop with clean data and a forty-person floor with years of product history to migrate and three systems to connect. You'll have a written number after discovery, not a range.

Do we have to replace the systems we already run?

No. PromoLink is built to connect to what's already in place: your ERP, accounting, CRM, inventory and production software. Where a connection doesn't exist yet, it's scoped as an integration during discovery rather than solved with CSV exports.

What does the QuickBooks integration actually cover?

Accounts receivable syncs to QuickBooks Online today; accounts payable is on the roadmap. Sales orders generated in PromoLink carry through, so what your reps sold and what the sales order says are the same numbers your books see.

How long does implementation take?

It depends almost entirely on data migration, which is exactly what discovery is for. Configuration and supplier catalog connections are fast; migrating years of product, client and pricing data is the part that sets the timeline. You get a dated plan with the quote.
