# Company Store Software for Promo Distributors: What to Look For

Company store software for promo distributors: when stores pay off, what punchout is, how to measure profitability and what to check before launch.

## What is a company store?

A company store is a private online store where a company's employees, clients or partners order pre-approved branded merchandise. A promotional products distributor usually builds and runs it for the client, handling products, decoration, ordering and fulfillment behind the scenes.

Companies use them for employee apparel and onboarding, uniform programs, recognition and rewards, and keeping franchise or branch locations on the same approved catalog.

I'm often asked what makes a store program succeed. My answer is always the same: what happens after checkout. The storefront is what your client sees. The work behind it is what decides whether the program lasts.

## What types of company stores do distributors run?

The most common types:

- **Employee stores:** staff order branded apparel and items, often paid by the company through an allowance.
- **Uniform programs:** set items in set sizes, sometimes with ordering windows.
- **Recognition and rewards stores:** recipients redeem a balance or gift card.
- **Pop-up stores:** short-lived stores for an event, launch or campaign.
- **Client-facing or reseller stores:** open to a client's customers or members.
- **Browse-only catalogs:** a product showcase without checkout, where a rep places the order.

## Are company stores worth it for promotional products distributors?

They can be, when a client orders the same kinds of products repeatedly and many people need to order on their own. A store turns repeat orders into a program instead of a new sale every time. Whether it pays depends on how much work each store order creates behind the scenes.

Online is already a big part of promo. PPAI estimates online sales reached $7.1 billion in 2025, or 26.3% of U.S. distributor sales, and small distributors' online sales grew 11.4%.

The catch is the work behind each store. If any of these sound familiar, you're not alone:

- Store orders get read from an inbox, typed into a PO, then typed again into accounting.
- Small client programs get turned down because a new store takes too much effort to set up.
- A client insists on keeping the store platform they already use.
- Margin reports are built on SKUs that were never priced properly.
- Launch week arrives and support is slow.
- Everything between systems runs on CSV exports.

None of that is a people problem. It's a process problem, and it's solvable.

## When doesn't a company store make sense?

A store isn't the answer to every order. A one-time order for a single event, placed by one buyer, is often simpler as a regular quote and order. A program with very few people ordering, or with products that change completely every time, may not justify the setup.

A store makes the most sense when the same client has repeat needs, many people order on their own, and the products stay stable enough to set up once. Knowing when to say "let's just quote this one" is part of being a trusted partner.

## What should company store software include?

At minimum: a way to build and brand stores, finished products that are already decorated and priced, controls for who can order what and how they pay, and a path from every store order to a supplier PO, an invoice and a margin report. That last part decides whether a store program is profitable.

Rather than comparing feature lists, ask any platform you're considering these questions:

1. How does a store order become a supplier PO? Is it automatic, or does someone retype it? What about decorator POs?
2. When a product or price changes, how many places do we update it? Once, or store by store?
3. How do we control who orders what? Can one store show different products to different groups? Can orders require a manager's approval?
4. How do allowances work: balances, gift cards, or company billing?
5. Whose payment, tax and carrier accounts are used? Yours, at your negotiated rates, or the platform's?
6. Can it connect to the client's procurement system? (See punchout below.)
7. Can it take orders from stores on other platforms your clients already use?
8. Is margin calculated from quoted costs or from supplier invoices?
9. How is it priced as we add stores and users?

The answers tell you more than any demo. A beautiful storefront with a manual back office is still a manual program.

## What is a punchout catalog?

A punchout catalog lets a buyer shop a supplier's or distributor's store from inside their own procurement system. The buyer starts in a system such as SAP Ariba, "punches out" to your store, fills a cart, and sends it back to their system for approval. The approved order then comes to you as a purchase order.

Punchout matters because many large companies, universities and public bodies have to buy through their procurement systems. If you sell to them, ask about punchout before you build the store, since it shapes how orders, approvals and invoices flow.

## Can a company store work with a client's existing store platform?

Yes, if your back office can take orders from it. Many distributors run stores on several platforms because their clients chose them. The real question is whether orders from those stores go through the same purchasing, accounting and reporting process as your own, or whether every platform becomes its own manual workflow.

Meeting clients where they are builds trust. Making it scalable takes interoperability, not just automation.

## How do you measure company store profitability?

Track sales and gross margin by store, product and supplier, and update margin as supplier invoices arrive. Margin based on quoted costs always looks better than margin based on what you were billed. The gap is where overruns, extra charges and freight hide.

Three habits help:

- **Price every SKU before launch,** including decoration and freight assumptions.
- **Match supplier invoices to POs** before you report on a store.
- **Compare stores against each other,** so you can see which programs carry the margin and which need repricing.

You can't improve what you can't measure.

## How long does it take to launch a company store?

It depends mostly on the products. A store with a few finished, decorated products is quick to launch. A large program with many decoration options, sizes and images takes longer, because every product has to be set up and photographed or mocked up. Templates, copying an existing store and bulk product import all shorten it.

## What should you check before launching a company store?

- **Products:** every item decorated, priced and imaged, with sizes and colors limited to what the supplier offers.
- **Prices:** every SKU priced, with margin checked against your target.
- **Users:** who can order, which groups see which products, and who approves.
- **Payment:** allowances, gift cards, card payment or company billing set up and tested.
- **Tax and shipping:** tax set for the ship-to locations, with shipping options and charges shown at checkout.
- **After checkout:** a test order followed all the way to the supplier PO, the invoice and the margin report.

That last check is the one teams skip, and it's the one that matters most.

## How PromoLink fits

PromoLink's [Storefront Suite](https://www.promolink.io/storefront-suite-distributor) runs unlimited company, client and pop-up stores with no per-store license, on products built once with live supplier data and margin rules, plus user groups, manager approvals, gift cards and punchout, including Ariba. Store orders flow into supplier POs, invoice reconciliation and QuickBooks Online without retyping.

## Every store, one back office

When we talk about company stores, we're really talking about three things: Trust, Transparency, and Experience. A store looks finished the day it launches. What makes it last is the path behind it, from checkout to supplier PO to invoice to a margin report you can trust. That isn't just an internal operational win. It's what turns a one-time store into a program your client renews.

So pick one store this week and follow a single order from checkout to the supplier invoice. Note every place it gets retyped and every place you wait on someone. Share it with your team, and compare notes with peers who run store programs, because a peer-validated answer beats trial and error every time. And if you'd like a second set of eyes, [we're always happy to talk it through](https://www.promolink.io/request-a-demo). We rise together.
